Camera Ready Instructions
Authors of accepted papers must prepare and submit the final version of their manuscript following Springer Nature’s requirements for the conference proceedings.
The final files will be used for the production of the official Springer volume. Springer Nature will convert the submitted manuscript files into XML and reformat them according to the Springer branded style. Therefore, authors do not need to make unnecessary cosmetic adjustments, but they must carefully follow the key preparation requirements listed below.
1. Submission
Authors must submit the final version of their paper using the official Springer proceedings template.

Please make sure that the final version is complete, carefully revised, and ready for publication.
Final submission checklist
- Editable source file, in Word or LaTeX format.
- PDF version of the final manuscript.
- High-quality figures, included together with the editable source file in a single ZIP file.
- Alt Text for all figures and images, provided in an Excel document following the required template.
- Signed Contributor Agreement, following the provided template.
2. Figures, tables, and illustrations
All figures, illustrations, diagrams, screenshots, and tables must be clearly readable and suitable for publication.
Please ensure that:
- Figures have sufficient resolution.
- Text inside figures is legible.
- Figures are properly cited in the manuscript.
- Captions are complete and informative.
- Images do not contain unnecessary visual elements.
- Tables should preferably be editable text, not images.
Please note that all illustrations will appear in full color in the eBook version. However, figures may appear in black and white in the printed version.
If color is essential for the correct interpretation of a specific figure in the printed version, authors must clearly indicate this when submitting the final files.
3. [New] Accessibility and Alt Text for figures
Springer Nature follows accessibility requirements, including the Web Content Accessibility Guidelines.
Authors must provide alternative text, also known as Alt Text, for all figures, illustrations, diagrams, screenshots, and images.
Alt Text is a short textual description that allows readers using screen readers or other assistive technologies to understand the content and function of the image.
For each figure, authors should provide:
- Figure number.
- Figure title or caption.
- Alt Text describing the essential content of the image.
Alt Text should be concise but informative. It should not simply repeat the caption; instead, it should describe what the image shows and what information is relevant for understanding it.
Example:
Figure 1. System architecture of the proposed platform
Alt Text: “Diagram showing the architecture of the proposed platform, including a user interface layer, a data processing module, a machine learning component, and a database connected through API services.”
The Alt Text information may be requested in a separate spreadsheet together with the final manuscript files.

4. Third-party material, copyright, and permissions
Authors are responsible for ensuring that all material included in the manuscript can legally be published.
Third-party material refers to any content that is not original work created by the authors. This may include, among others:
- Figures from other publications.
- Photographs.
- Screenshots.
- Logos.
- Trademarks or brand images.
- Tables adapted from other sources.
- Long text excerpts.
- Poems, lyrics, interviews, or social media content.
- Images downloaded from the Internet.
- Previously published material by the same authors.
We strongly recommend that authors do not use third-party material, even if they have obtained permission to do so. Please use only original content created by the authors of the paper.
5. Ethical and publication standards
All submitted manuscripts must comply with international standards for responsible research publication.
Authors must ensure that:
- The work is original.
- The manuscript has not been published elsewhere.
- The paper is not under consideration by another publication unless explicitly allowed.
- All authors have contributed appropriately.
- All authors have approved the final version.
- Any use of third-party material is properly credited and legally cleared.
- The manuscript does not contain plagiarism, duplicate publication, data fabrication, or other forms of research misconduct.
Springer Nature follows the guidelines of the Committee on Publication Ethics, COPE.
6. Contributor Agreement
For each accepted paper, Springer requires a signed Contributor Agreement.
This is a legal requirement that grants Springer Nature permission to publish the work in the proceedings volume.
The corresponding author of each accepted paper must complete and sign the Contributor Agreement form.
The information in the Contributor Agreement must exactly match the final manuscript, including:
- Title of the paper.
- Full list of authors.
- Order of authors.
- Same name and order used in the manuscript.
- Corresponding author details.
Please note that the Contributor Agreement is a legal document. Once submitted, changes to authorship, order of authors, title, or corresponding author information may not be possible.
The signed Contributor Agreement must be submitted together with the final manuscript files.
7. Final submission checklist
Before submitting the camera-ready version through the EasyChair platform, authors should make sure they have prepared the following files:
- Editable source file, in Word or LaTeX format.
- PDF version of the final manuscript.
- High-quality figures, included together with the editable source file in a single ZIP file.
- Alt Text for all figures and images, provided in an Excel document following the required template.
- Signed Contributor Agreement, following the provided template.
8. Registration requirement
At least one author of each accepted paper must complete the conference registration before the deadline indicated by the conference organizers.
Registration is compulsory for the paper to be included in the conference proceedings.
If no author has completed the registration by the deadline, the paper may be excluded from the conference and from the proceedings.

If authors need additional time to process the payment, they should contact the conference organizers as soon as possible.
9. Important note
The camera-ready version must be final and ready for publication. Authors are strongly encouraged to carefully check spelling, grammar, references, author names, affiliations, figures, tables, Alt Text, and permissions before submission.
Once the final files are sent to Springer for production, later changes may not be possible or may significantly delay the publication process.
